Parish Administrative Assistant
The Parish Administrative Assistant serves as the administrative support for all parish Evangelization Ministries, Catechetical Ministries, and Youth and Young Adult Ministries while also supporting the main office. Reporting to the Director of Evangelization & Catechetical Ministries, this full-time, non-exempt, salaried position will regularly be completed in 40 hours each week.
KEY RESPONSIBILITIES
Provide excellent communication with parishioners and volunteers through:
Answering phones and emails with professionalism and courtesy
Responding to requests for information in a timely fashion
Assisting with finding substitute catechists as needed
Sending parent reminders and other communications as needed
Updating website and departmental forms as needed
Oversee Faith Formation Office operations at St. Ferdinand site through:
Record maintenance
Assistance with data compilation for various reports, including sacramental records
Supply order, inventory, and organization
Overseeing the maintenance of parish library
Assist with Evangelization & Catechetical Ministries programs by:
Preparing materials for catechists and ministry/group leaders as needed
Assisting volunteers with meeting space needs
Attending special events as needed (speaker events, parent and catechist meetings, sacramental celebrations, VBS, etc.) as needed
Support Parish Offices
Serve as the welcoming face of the parish in the main office by greeting and assisting visitors and answering phone calls
Conduct standard office communications and tasks such as sorting mail, preparing documents and correspondence, etc.
Perform standard parish office functions such as taking Mass intentions, making copies, organizing and maintaining files, maintaining and troubleshooting office equipment, ordering supplies, etc.
Other duties as mutually agreed upon for the betterment of the parish. Knowledge, Skills and Abilities
Practicing Catholic in good standing and in compliance with all Safe Environment Requirements
Effective and open interpersonal skills, including written, verbal, and telephone communication
Self-motivated, team player, with proven organizational and multitasking skills and ability to meet deadlines
Ability to exercise a high level of professionalism including professional integrity, a sense of responsibility and accountability, and the ability to respect confidentiality
High level of computer/new technology competencies such as Microsoft Office, database systems, social media, etc.
Understanding, empathetic and relatable with a positive and personable demeanor
Able to work at all parish sites and travel to Diocesan trainings when required
Desired Skills
Undergraduate Degree or Technical School Certificate/Diploma in related field.
Three (3) to five (5) years of experience in an administrative role.
Fidelity to Church Teaching
Since this position is a visible representative of Divine Grace Parish and the Diocese of Pittsburgh, it is necessary that the incumbent be a practicing Catholic, registered in a Catholic parish, and embrace in word and in deed the Church’s teachings on faith and morals as articulated by the Church’s Magisterium.
